Research Grants: Frequently Asked Questions

Q: What documentation is required for a Research Grant to be reviewed?
A:

  • Complete and sign the Clinical Research Grant Application Form or Non-Clinical Research Grant Application Form.
  • US Only: Complete and sign the current W-9 Form, with address and information of the Institution/Organization for which payment would be issued.
  • Non-US Only: Complete and sign the current W-8 Form, with address and information of the Institution/Organization for which payment would be issued.
  • Include the Curriculum Vitae of Principal Investigator, including a list of principle investigator's publications.
  • Include detailed study budget for entire project, and funding amount requested from Baxter. If multiple commercial supporters are involved, please indicate other funding entities.
  • Study budgets without specificity in line-item details will not be accepted and will delay the review process.

Q: If my Clinical or Non-Clinical Full Grant Application is accepted, how long does it take to receive funding?
A: Disbursement of funds for approved Clinical or Non-Clinical Full Grant Applications variable based on the finalization of the contract agreement between Baxter and the investigator, or between Baxter and the institution with which the investigator is affiliated. Following approval, Baxter’s legal department will prepare an initial draft of a contract agreement. In general, the contract agreement sets forth the obligations of the investigator (and/or institution) and Baxter in relation to the study. Once Baxter’s legal department has prepared a draft of the agreement, it is forwarded to the investigator and/or the investigator’s institution for review. Once all parties agree to a final version of this agreement and two hard copies are generated and submitted for signature internally, both copies are then sent to the investigator/institution for signature. Once a fully-executed copy is returned to Baxter, it is submitted to our finance department for payment within 10-12 weeks.

Q: What types of deliverables are required during and following completion of the study?
A: The amount and frequency of study deliverables are set forth in the application and within the protocol. It is common practice to submit an interim report followed by a final report at the conclusion of the study. In addition, an investigator must submit a copy of any abstract, manuscript, or presentation resulting from the study according to the terms outlined in the contract agreement.

Q: If my Proposal Grant Application and/or Full Grant Application is not accepted, may I resubmit it for a later funding cycle?
A: Following review of a Grant Application, a letter will be issued to the investigator and/or the institution detailing the decision of the review board.  A proposal may be conditionally accepted on the basis of minor clarifications that need to be addressed; these clarifications will be detailed in the letter. If the proposal is deferred due to internal or external reasons, it may also be reconsidered at a later date.

Q: How do I check the status of my grant request or payment?
A: You may only check the status of your grant request by contacting the Baxter BioScience Grants department.
